How Newsfable collects, uses, and protects information.
Effective: May 20, 20261. Who we are
Newsfable (“we”, “us”) operates the Newsfable service at newsfable.com: a SaaS product that generates daily personalized podcast-intelligence email newsletters using AI summaries of publicly available podcast transcripts.
This Privacy Policy describes how we handle information when you visit our website, create an account, configure newsletters, or receive emails from us.
2. What we collect
We try to collect as little as possible. The categories of information we hold are:
Account information
- Email address. Used to sign you in (we use passwordless magic links), to deliver newsletters, and for transactional messages.
- Account state. Whether your email is confirmed, your role, and your timezone preferences.
- Role. Whether you are a regular user or an administrator.
Newsletter content you create
- Newsletter configuration. Title, mode, the question or prompt you write, the Apple Podcasts category, the market (country and locale), the daily delivery time, timezone, and the destination email.
- Optional output settings. Maximum episodes per issue, whether to include timestamped moments and transcript excerpts.
Delivery and usage records
- Delivery logs. For each scheduled or test newsletter we record subject, delivery type, completion timestamp, and status (sent, failed, etc.).
- Newsletter snapshots. A record of what was retrieved and summarized for each issue, used for trend comparison across runs.
- Server logs. Standard request logs (IP, user agent, timestamp) kept short-term for security and debugging.
Contact requests
- If you submit the contact form, we store your name, email, company, and message.
3. How we use it
- Operate the service. Authenticate you, save your newsletters, schedule and send daily issues.
- Generate newsletter content. Your prompt, category, and market are sent to our retrieval pipeline (the Podcast RAG API) and to a large-language-model provider that summarises the retrieved transcript moments into an email.
- Deliver email. The generated issue is sent via our email transport to the destination email on the newsletter.
- Security and abuse prevention. Rate-limit logins and test sends, detect abuse, and respond to security incidents.
- Product improvement. Aggregate, de-identified metrics about which modes are used and how often deliveries succeed.
We do not sell your information, and we do not use the contents of your newsletter prompts or your inbox to train third-party AI models.
4. Who we share it with
We share information only with the service providers necessary to run Newsfable, and only with what each one needs:
- Object storage provider — encrypted-at-rest storage for our user, newsletter, and delivery records (private bucket).
- Email transport (SMTP) provider — to physically deliver newsletters to the inbox you specify.
- Large-language-model provider — receives your newsletter prompt and the retrieved transcript chunks in order to produce the issue summary. Provider output is returned to us and not retained by the provider for training, where the provider supports that option.
- Podcast RAG API — our retrieval backend, which searches public podcast transcript indexes. We send your filters and prompt; we do not send your identity.
We may disclose information when required by law, to protect rights, or to investigate fraud or abuse.
5. Where we store it
All account, newsletter, and delivery records are stored as JSON objects in a single private S3-compatible bucket. We do not use a separate relational database for user data. Access to the bucket is restricted to the Newsfable application and authorized operators.
6. How long we keep it
- Active accounts: kept while your account exists.
- Newsletters: kept while you keep them. Deleting a newsletter marks it deleted and removes it from your dashboard; we retain a minimal record for abuse-prevention purposes for a limited period before purging.
- Delivery logs: kept for up to 12 months for support and debugging, then purged.
- Magic-link and confirmation tokens: single-use, expire quickly, and are deleted once consumed.

7. Cookies
We use only a small number of strictly necessary cookies:
- Session cookie — an opaque identifier that lets you stay logged in after clicking your magic link.
- CSRF cookie — a random token used to protect form submissions from cross-site request forgery.
We do not use third-party advertising, analytics, or tracking cookies on the marketing site or in the app today. If that ever changes, we will update this policy and surface a clear notice.
8. Your rights
Depending on where you live, you may have rights to:
- Access the information we hold about you.
- Correct inaccurate information (most fields are editable directly in your dashboard).
- Delete your account and associated data.
- Export your data in a machine-readable format.
- Object to or restrict certain processing.
- Withdraw consent where processing is based on consent.
To exercise any of these rights, email [email protected]. We will respond within a reasonable period and in any event within the timeframe required by applicable law.
9. Children
Newsfable is not directed to children under 16. We do not knowingly collect personal information from anyone under 16. If you believe a child has provided us with information, contact us and we will delete it.
10. International transfers
We may process and store information in countries other than the one in which you live, including the United States and the European Union. Where required, we rely on appropriate safeguards such as the EU Standard Contractual Clauses for cross-border transfers.
11. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the “Effective” date at the top and, for material changes, notify you by email or via the dashboard before the changes take effect.
